If you booked with a Travel Agent, you will need to contact your agent and make payments through them.

Why do I need to pre-register for my trip on the My Costsaver portal?

We require all our guests to register before they travel. Every travel moment counts so we do this to ensure that your trip runs seamlessly, and it also means we can contact you in the unlikely event of an emergency. Registration only takes a few minutes and you will be asked to enter your contact details such as an email address, a mobile phone number and the contact details of a nominated person we can call in the event of an emergency. We also invite you to share details of any specific dietary requirements and travel preferences, special celebrations etc.

Europe, North & South America, Australia & New Zealand trips
Once registered, you will find all your itinerary details, be able to download your e-Documents and meet your Travel Director online.

Africa & Asia trips
Unfortunately, our Africa and Asia Travel Directors do not have the same level of access to passenger details as on other destination tours, so you will not be able to connect with them prior to the trip or online. Rest assured, the quality of your on-trip experience will still be impeccable and they are looking forward to meeting you on trip.

Do I need travel insurance?

We highly recommend guests purchase travel insurance prior to your trip. You can either include Costsaver's Travel Protection Plan in your booking or purchase insurance independently.

Please ensure you add the details of your insurance to the My Costsaver Travel Portal.

Your insurance should cover trip interruption, personal injury, medical expenses, and evacuation and repatriation cover including during pandemic events.

What do I need to know about border crossings, visa requirements and passports?

Accepted Answer

Depending on your nationality, you may need visas to enter certain countries included on your trip. Please note that obtaining visas can take up to six weeks and so it is strongly advised that you consult your Travel Agent and the local Consulate or Embassy of the country you are visiting to determine which visas they require and how to obtain them.

Note: Costsaver is not responsible for obtaining any necessary visas required on your tour. 

Information about border crossings and visa requirements varies by destination. Please check the destination you're visiting below for more information:

Europe trips
Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. Multiple-entry visas may be required if you are entering a country more than once on your holiday.

Guests are advised that only the countries you plan to visit can provide up-to-date information about their specific visa requirements. Guests should contact the nearest embassy or consulate of the countries they plan to visit well in advance of travel. Please check your itinerary carefully. Remember that requirements vary based on a passport's place of issue and that the process can take time.

Check that multi-entry visas have the correct entry dates and destinations before you travel. Please be aware that with some itineraries, you may travel through a country without making an overnight stop. If this happens on your itinerary, you will still need a visa to enter/exit the country when transiting through UK & Ireland.

Please ensure that you carry proper identification with you at all times, as border crossings will need to see your entry documents and passports. Usually crossing borders is a very straightforward process that is managed by your Travel Director. However, be advised that you may be required to open your luggage and answer simple questions about the length of your stay, purpose of travel, etc.

New European Entry/Exit System (EES) from 12 October 2025

The Entry/Exit System (EES) is a new EU digital border management system that replaces manual passport stamping by electronically recording non-EU travellers’ entries and exits from the Schengen Area using biometric and passport data.

The EES applies to travelers who are not citizens of the EU, Schengen Area, EEA, Switzerland, Norway, Iceland, or Liechtenstein, and covers short stays of up to 90 days within any 180-day period. Children under 12 are exempt from fingerprinting, though a photo record is still required.

Upon your first entry into the Schengen Area after the EES becomes active, non-EU travelers will need to register their photo and fingerprints at border control (either at a kiosk or with a border officer). After that, only quick biometric checks will be needed for up to three years. During the transition period, manual passport stamping may still occur at some border crossings.

Please note that the EES does not replace visas or grant entry - it is purely a border management system. Travelers who require a visa must still obtain one before traveling, while visa-exempt travelers will continue to enter without a visa but will be registered in the EES upon arrival. Please ensure that you carry proper identification with you at all times. Usually crossing borders is a very straightforward process. However, be advised that you may be required to open your luggage and answer simple questions about the length of your stay, purpose of travel, etc on occasions.

United Kingdom and Northern Ireland trips incl. transiting travelers

From January 8, 2025 UK law requires travelers both entering and transiting through the UK and Northern Ireland to obtain an Electronic Travel Authorization (ETA) which must be obtained in advance of travel. It costs £16 and is valid for 2 years.

USA trips incl. transiting travelers

US law requires travelers both entering and transiting through the United States are required to obtain an Electronic System for Travel Authorization (ESTA) which must be obtained in advance of travel. ESTA applications can be made at the U.S. Customs and Border Protection website.

Rest of the World trips
Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. You are responsible for obtaining all necessary visas before the departure of your guided holiday. Depending on your nationality, you may need visas to enter certain countries included on your trip. Please note that obtaining visas can take up to six weeks before your departure. Is the trip deposit refundable once I have paid?

Once you have placed a deposit on a vacation, your deposit amount is non-refundable. However, we appreciate that plans can change, and we do offer our deposit protection.

This deposit protection allows you to use your base deposit of $200 towards a future vacation within the next 5 years. All you have to do is contact us. or speak with one of our agents to provide the details of your reservation.

How do I gift my Travel Credits to somebody?

Bear in mind that some excursions will take in visits to cathedrals or other religious locations where there may be a restriction on shorts / mini-skirts and bare shoulders.

A comfortable pair of flat shoes /trainers for walking is essential as you may be visiting cities and sites with cobbled streets and uneven terrain.

Each guest is permitted one bag with maximum dimensions of 58 linear inches (147 cm), the total of length, width, and height - and a weight not exceeding 44 lbs (20 kg). Guests may also bring one carry-on item, such as a purse, backpack, or similarly sized item that fits comfortably under the seat in front of them or the overhead compartment weighing no more than 15 lbs (7kg).

Can I bring my small rolling suitcase that I can bring on the airplane with me in the coach as my carry-on?

Accepted Answer

For safety reasons, small rolling suitcases are not permitted inside the coach. As our coaches have large windows, there is minimal space to store them securely overhead or under the seat. Suggested carry-on is a soft-sided bag similar to backpack, tote bag, etc.

How much travel money should I plan to bring?

Accepted Answer

Think about things such as spending money for meals that are not included, for example, lunch, drinks, snacks and alcohol. You will need money for Choice Experiences and sightseeing trips, plus purchases while shopping, gratuities, and any random extras like laundry or dry cleaning.

Before traveling internationally, we recommend that you notify your bank and credit card company with information about where you are traveling and to obtain PIN codes if you do not already know them. It is critical to inform your provider so they will not deny payment because they think the transaction could be fraudulent. It is also good practice to keep the details of an overseas contact number for your bank and/or credit card company just in case you need their assistance when traveling.

In most countries, ATMs are easily available to withdraw cash. There will generally be a fee determined by your bank or the ATM, but these are still the most cost-effective method of cash withdrawal. You can locate ATMs in the customs arrival hall or airport terminal building. As you travel your Travel Director can help you find the location of banks/ATMs etc.

Please remember to only insert cards into ATM machines that have the logo of your card. Debit cards are preferable to credit cards as transaction fees are less, and most machines have a maximum withdrawal limit.

If you plan to purchase local currency before you travel, ask for notes of smaller denominations. Many local stores and restaurants may not accept or be able to give change for the higher ones.

While most major credit cards are generally accepted by shops and hotels worldwide, you may find that there is a minimum charge for using them. It is also becoming more common for identification to be requested when making payments by credit card, so remember to carry your passport or driver’s license with you. Visa, American Express or MasterCard are widely accepted in most shops and restaurants.

Do I have to purchase gratuities prior to the vacation?

We offer this option for some trips because many guests like to budget for all elements of their vacation. Gratuities can be pre-paid during the online booking process or alternatively, contact us if you'd like to add this to your booking. The pre-paid gratuities option is not available on our Asia, Africa, Australia or New Zealand trips.

Each of these apps is recommended to enhance your travel experience, keep you informed, and help capture every moment of your trip:

WhatsApp: This messaging app is great for connecting with your friends and family and is free to use over Wi-Fi. Your Travel Director may also use WhatsApp Communities as an additional way to share updates and reminders like where to meet, photos from your tour and more, directly to your device. If your Travel Director is a WhatsApp user, they will add you to your tour Community when you start your tour. If you don’t have the app, it’s best (and recommended) to download and set up the app before you leave home to start your tour. Simply open the Apple App Store or Google Play App Store on your device and search for WhatsApp.

Facebook & Instagram: These social media apps are great for sharing your experiences with your friends and family, and we love seeing what you get up to on your tour with us as well. If you don’t have these apps, it’s best (and recommended) to download them before you leave home to start your tour. Open the Apple App Store or Google Play App Store on your device and search for Facebook and Instagram. Once you’re all setup, follow us @CostsaverTours. When you’re traveling, use #csmyway when you post, along with the individual tour hashtag which will be given to you by your Tour Director when you start your tour. Your Travel Director can also help you download and set up profiles on these apps when you meet them.

Packr & PackPoint: These apps give you great packing tips based on forecasted weather and activities planned for your destinations.

Weather Channel & AccuWeather: These are the most popular apps to keep you up to date with the local weather of the places you visit.

Duolingo: This app is great for helping you brush up on a language for just a few minutes a day.

Google Translate: From quick translations on the go to real-time conversation mode and image translations, this app helps to break down language barriers with locals.

I am traveling with a child/young person, is there anything specific I need to consider before my trip?

At Costsaver, our younger guests are just as important as our older ones, so we’ve taken care to craft action-packed itineraries that’ll impress children aged five years or older. All children and young people under eighteen years old must however be accompanied by an adult who will be responsible for their supervision and welfare. Some countries have established practices to prevent international abductions of children and because of this, it is recommended that you secure a “Child Travel Consent” prior to departure if you are traveling with a minor who is under eighteen years of age. This documents that a minor has permission from his or her parent(s) or guardian(s) to travel and may be requested by authorities and officials when a child is traveling internationally: With one parent or guardian; Without a parent; Alone; With an adult who is not a parent or guardian. If the traveling parent has sole custody, he or she will require a notarized true copy of a court order or equivalent proving custody. If both parents have custody, or the non-traveling parent has custody, the traveling parent will need notarized consent from the non-traveling parent. We recommend that you contact relevant consulates and airlines for additional information and guidance.

How can I stay connected to friends and family while traveling?

We understand how important it is to stay connected with your close family and friends while traveling. In your travel documents find a detailed hotel list that includes hotel names, addresses, contact numbers and dates of stay. Leave a copy of this document with family and friends so they can get in touch if needed.

You may wish to bring a smartphone on tour. If so, contact your service provider to let them know about your travel itinerary and dates before departure. Most companies can change you to an international plan, allowing you to make calls or use data outside your home country. It is possible to make long-distance phone calls from hotel rooms but it is very expensive. Even if you use a ‘toll-free’ calling card, a surcharge may be applied so always check beforehand to avoid a costly surprise. If you purchase a calling card for use while traveling, make sure the card covers the country/countries in which you will be traveling. A list of counties should be clearly displayed on the card or packaging.

What do I need to know about border crossings, visa requirements and passports?

Depending on your nationality, you may need visas to enter certain countries included on your trip. Please note that obtaining visas can take up to six weeks and so it is strongly advised that you consult your Travel Agent and the local Consulate or Embassy of the country you are visiting to determine which visas they require and how to obtain them.

Information about border crossings and visa requirements varies by destination. Please check the destination you're visiting below for more information:

Europe trips
Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. Multiple-entry visas may be required if you are entering a country more than once on your holiday.

Guests are advised that only the countries you plan to visit can provide up-to-date information about their specific visa requirements. Guests should contact the nearest embassy or consulate of the countries they plan to visit well in advance of travel. Please check your itinerary carefully. Remember that requirements vary based on a passport's place of issue and that the process can take time.

Check that multi-entry visas have the correct entry dates and destinations before you travel. Please be aware that with some itineraries, you may travel through a country without making an overnight stop. If this happens on your itinerary, you will still need a visa to enter/exit the country when transiting through UK & Ireland.

Please ensure that you carry proper identification with you at all times, as border crossings will need to see your entry documents and passports. Usually crossing borders is a very straightforward process that is managed by your Travel Director. However, be advised that you may be required to open your luggage and answer simple questions about the length of your stay, purpose of travel, etc.

New European Entry/Exit System (EES) from 12 October 2025

The Entry/Exit System (EES) is a new EU digital border management system that replaces manual passport stamping by electronically recording non-EU travelers’ entries and exits from the Schengen Area using biometric and passport data.

The EES applies to travelers who are not citizens of the EU, Schengen Area, EEA, Switzerland, Norway, Iceland, or Liechtenstein, and covers short stays of up to 90 days within any 180-day period. Children under 12 are exempt from fingerprinting, though a photo record is still required.

Upon your first entry into the Schengen Area after the EES becomes active, non-EU travelers will need to register their photo and fingerprints at border control (either at a kiosk or with a border officer). After that, only quick biometric checks will be needed for up to three years. During the transition period, manual passport stamping may still occur at some border crossings.

Please note that the EES does not replace visas or grant entry - it is purely a border management system. Travelers who require a visa must still obtain one before traveling, while visa-exempt travelers will continue to enter without a visa but will be registered in the EES upon arrival. United Kingdom and Northern Ireland trips incl. transiting travelers

From January 8, 2025 UK law requires travelers both entering and transiting through the UK and Northern Ireland to obtain an Electronic Travel Authorization (ETA) which must be obtained in advance of travel. It costs £16 and is valid for 2 years.

USA trips incl. transiting travelers

US law requires travelers both entering and transiting through the United States are required to obtain an Electronic System for Travel Authorization (ESTA) which must be obtained in advance of travel. ESTA applications can be made at the U.S. Customs and Border Protection website.

Rest of the World trips
Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. You are responsible for obtaining all necessary visas before the departure of your guided holiday. Depending on your nationality, you may need visas to enter certain countries included on your trip. Please note that obtaining visas can take up to six weeks before your departure. It is strongly advised that you consult your Travel Agent and the local Consulate or Embassy of the country you are visiting well in advance to determine which visas they require and how to obtain them.

Do I need travel insurance?

We highly recommend guests purchase travel insurance prior to your trip. You can either include Costsaver's Travel Protection Plan in your booking or purchase insurance independently.

Please ensure you add the details of your insurance to the My Costsaver Travel Portal.

Your insurance should cover trip interruption, personal injury, medical expenses, and evacuation and repatriation cover including during pandemic events.

To ensure a healthy and enjoyable trip, we strongly suggest that you pack a plentiful supply of any medication that you may need while on holiday. All prescriptions should be filled, up-to-date and in their original packaging. Always pack prescriptions in your carry-on bag with copies of your prescription paperwork as your checked luggage may not always be easily accessible, particularly in the event of delays, lost luggage etc.

You might be concerned about enhanced airport security measures about the quantities of liquids that you can carry aboard a plane preventing you from taking your medication on flights. However, as long as your medication is accompanied by the relevant documentation from your doctor (a doctor’s note or letter should be fine), you're entitled to take it with you on board your flight.

We would always advise you to research the rules around taking your medication to your destination country and what proof of treatment you’re expected to bring with you. For example, you can avoid any issues at airport customs in Spain by having your prescription drugs and doctor’s letter readily available. However, not all European countries have the same regulations.

Everyday over-the-counter medicines are not carried on the coach. Your Travel Director will be able to advise you where to purchase items if needed.

Please contact your doctor or health care provider before traveling to determine which vaccinations or other health precautions are recommended for your travels. Most countries in which we travel do not need any special vaccinations, but requirements can change at any time and we strongly recommend that you check for more detailed and current information before you travel. This will depend on the destinations you are traveling and your personal health circumstances. Be sure to speak to your Travel Agent or doctor to find out if vaccinations are required. If you are taking medication or suffer from any form of illness, ensure you have an adequate supply of medication before departing for your holiday.

Vaccination against Covid-19
Covid-19 vaccination is not mandatory to travel with Costsaver however we strongly advise that guests are vaccinated against Covid-19 before traveling.

Can I bring a wheelchair or a motorized scooter on my trip?

Yes, in most circumstances you’re able to travel with a wheelchair on your trip, as long as you’re traveling with someone who’s willing to provide personal assistance

Not all itineraries will be able to accommodate a motorized scooter, but it is important that we look into all elements of the vacation and our guests' needs.
